Update from the Reunion Organizing Committee

Selection of a Hotel

2008 Reunion of the 68th Assault Helicopter Company

San Antonio, Texas

October 8 through October 12, 2008 

As everyone may recall, at the end of the business meeting following the 2006 reunion in Las Vegas we all voted to accept Albert “Tex” Aylor’s recommendation that San Antonio, Texas be the location for the 2008 Reunion of the 68th Assault Helicopter Company (68th AHC).  Tex volunteered to coordinate the 2008 Reunion in San Antonio and shortly thereafter Paul “Airborne” Richards and Joe Matusz (former members of the 68th AHC’s Flight Line Maintenance Crew (1967-68) volunteered to help Tex with this project.  This was the beginning of the “Organizing Committee” for the 2008 Reunion. 

Beginning in early October 2006 members of the 68th AHC’s Reunion Committee (Fran “Van” VandenBroek, Dave Green, Ron Sheffield, Howard Smith, Roy Watson and Geoff Webster) provided the members of the Organizing Committee with their individual “After Action Reports” for the 2006 Reunion in Las Vegas which were summarized by Fran “Van” VandenBroek.  The Organizing Committee, using e-mail and telephone calls, then set about the task of developing a “Request for Proposal” (RFP) document to be submitted to as many hotels in San Antonio who could meet the requirements of the 68th AHC.  By the end of October 2006, the Organizing Committee had identified nineteen (19) possible San Antonio hotels who could meet our detailed RFP requirements and they began e-mailing these potential host hotels the detailed RFP requesting that they respond by no later than November 30, 2006.  As the Organizing Committee began to receive requests for clarifications or for additional information from these potential host San Antonio hotels, Tex once again volunteered to go to San Antonio over the Thanksgiving Holiday weekend to “scope out” these potential host hotels and to meet with other potential providers of services to the 68th AHC for our 2008 ReunionTex then reported back to the other Organizing Committee members about the results of his trip to San Antonio. 

By the deadline date of November 30, 2006, the Organizing Committee had received twelve (12) formal responses to our RFP.  During December 2006 the members of the Organizing Committee reviewed these twelve (12) detailed responses and just before Christmas 2006 the Organizing Committee notified seven (7) San Antonio hotels that they has made the “Short-list” and that members of the 68th AHC’s Organizing and Reunion Committees would be visiting each of the “Short-list” hotels in February 2007 for “on-site” inspections of their properties.  Just prior to the scheduled “on-site” visits to San Antonio, two of the “Short-list” hotels were eliminated because they began to change their original proposals.  

From February 15th through February 18, 2007 members of the Organizing (Tex, Joe and Pat Matusz) and Reunion (Dave Green) Committees visited the remaining five (5) “short-list” hotels for our “on-site” inspections.  During the day on Friday, February 16th Tex, Joe and Pat visited three (3) of the “Short-list” hotels and on Saturday, February 17th Dave Green joined Tex, Joe and Pat to visit the remaining two “short-list” hotels. 

After the visit telephone and email discussions continued between the Organizing Committee member.  The group keep the Permanent Reunion Committee informed through the process ensuring that the hotels under consideration would meet all the units reunion requirements.  The Organizing Committee is in the final stages of selecting and issuing a contract with the hotel that best met all the requirements needed while offering the best possible deal on guest rooms and meeting spaces to make the 2008 reunion the best 68th unit reunion ever. 
 the 68th AHC’s 2008 Reunion to be held from Wednesday, October 8th through Sunday, October 12, 2008.  A formal contract is in the works and the hotel selected will be announced within a few weeks.  Once announced we will have information about the hotel and San Antonio up on the website.  We will not be able to start making room reservations until the reunion is within 365 days or one year of the beginning date.  There will be arrangements for special guest room rates before and after the set reunion dates.  Start making plans to attend, and bring a friend, it going to the a real party.
